Clerk to the Trustees vacancy
After more than 28 years of dedicated service, our Clerk, Mike Kotwinski, will be stepping down from his role.
The Trustees would like to express their sincere thanks to Mike for his long-standing commitment and the invaluable contribution he has made to the work of the charity over nearly three decades.
The Foundation is therefore seeking to appoint a new Clerk to the Trustees, starting in April 2026, with a handover period during March, to ensure continuity and the ongoing smooth running of the charity’s work.

Clerk to the Trustees
Fowey Grammar School Foundation (Registered Charity 306571)
Location: Home-based (remote), with a minimum of four in-person meetings per year in Fowey.
Hours: Part-time, up to 4 hours per week.
Stipend: £6,615 per annum, paid monthly
Contract type: Self Employed - Reviewable annually
About the charity
The Fowey Grammar School Foundation is a long-established local charity. We support educational opportunity through awards and careful stewardship of the charity’s assets and interests.
We’re looking for a reliable, organised Clerk to the Trustees to help keep the charity’s governance, administration and records running smoothly. This is a home-based role, with attendance at a minimum of four in-person meetings per year required.
The role
As Clerk, you’ll support the Trustees and relevant sub-committees by managing meeting admin, records, correspondence and key compliance activities. You’ll also help oversee basic financial administration and maintain essential registers and governance documentation.
Key responsibilities
Attend meetings of the Full Committee and relevant sub-committees/working parties; take, prepare and circulate minutes.
Maintain governance records (Trustees’ Book, trustee appointments register, trustee contact/terms register).
Handle correspondence by email/letter and maintain appropriate filing.
Monitor income/expenditure via bank statements; administer payments/transfers (including online transactions) and maintain accurate records.
Prepare interim balance sheets as required; maintain petty cash records.
Prepare the Trustees’ Annual Report and submit the annual return and accounts to the Charity Commission.
Liaise with auditors, financial managers, solicitors and letting agents as needed.
Maintain a register of the charity’s properties/interests and flag key dates (lease expiries, rent reviews, overdue rents, etc.).
Receive and collate award applications; manage correspondence; prepare lists for Trustee approval; maintain payment records.
Act as the nominated Data Controller for GDPR; monitor and update the Risk Register at least annually.
Support basic PR activity and consult regularly with the Chair.
What we’re looking for
Essential:
Highly organised with strong attention to detail
Confident in producing clear minutes and maintaining accurate records
Comfortable handling sensitive information appropriately
Able to work independently from a home office set-up
Desirable (but not required):
Experience as a Clerk/Secretary to a board or committee
Familiarity with charity governance and/or the education sector
Confidence with basic financial administration and record-keeping
Experience engaging with professional advisers (e.g. auditors/solicitors)
Practicalities
You’ll need to provide your own home-working space, computer equipment, and software.
References will be required as part of the appointment process.
Appointment and stipend are reviewed annually at the AGM.

Interviews
interviews will be conducted via Teams with at least two Trustees, during the week commencing the 5th of January 2026. All Trustees have a meeting on the 14th of January where we hope to confirm the appointment.
Handover
There will be a month’s handover by the incumbent Clerk beginning 1st March 2026, with the full appointment beginning 1st April 2026.
